Keep quick conversations quick
Use the contact methods already agreed with your team for access questions, immediate clarification and arranging a call. A task app does not need to replace every conversation. Urgent or safety-related matters need appropriate direct contact rather than waiting for someone to open a task.
What matters is deciding which part of the conversation becomes an instruction or review decision. “Can we discuss the hallway?” is a question; it should not silently turn into an agreed additional job.
Move the final instruction into a clear brief
After a discussion, write down the clarified scope and location in the appropriate task. Tell the other party which record to refer to. If an important detail remains unresolved, make that clear rather than presenting the summary as a completed agreement.
Retain the relevant original exchange where it matters to your records. WorkSign does not automatically import WhatsApp messages or establish that the other person agreed with your summary.
A practical split between conversation and record
Use a conversation for
Arranging access, asking which area someone means, discussing a proposed change and agreeing when to talk.
Use an identifiable task record for
The written brief, the reference image, the submitted completion result and the investor’s acceptance or correction response.
Choose the place everyone can find again. Sending another copy of the same instruction in multiple channels can create conflicting versions.
Copy a conversation-to-task summary
SUMMARY OF DISCUSSION Related task / room: Date of discussion: Clarified work instruction: What remains unchanged: Questions still unresolved: Proposed additional work, to agree separately: Where the final brief is recorded: Completion evidence requested: Who needs to review the result:
Example: from a chat photo to a correction
A client receives a bathroom photo and replies “the edge needs attention”. That response is hard to interpret later. A clearer record identifies the doorway edge, describes the visible issue and asks for a specific corrected view. If a completion task is awaiting review in WorkSign, the investor can put that correction response on the task itself.
The next submission and response then remain linked to that task rather than depending on finding the right moment in a group chat.
Choose the workflow that fits the job
A small one-off job may need only a simple written brief and direct communication. More tasks, different trades or repeated reviews make consistent records more useful. WorkSign offers a brief → completion photo → review workflow; it is not a full chat replacement, legal archive or guarantee that a dispute will be resolved.
During testing, retain important agreements and original files outside WorkSign. Share only the personal information needed for the task, whichever channel you use.
